Coordination with production team: You will work closely with the production team to ensure that the finished products are ready for dispatch on time. You need to coordinate with the production team to schedule dispatches, monitor inventory levels, and ensure that the quality of the products is up to the mark.
Logistics management: You will also be responsible for managing the logistics of the dispatch process, including arranging for transportation, coordinating with delivery drivers, and tracking shipments to ensure timely delivery.
Documentation and record-keeping: You need to maintain accurate records of all dispatches, including invoices, packing lists, and delivery receipts. You should be able to handle all the paperwork related to dispatches, ensuring that the documentation is complete and accurate.
Customer service: You will also be the point of contact for customers regarding their dispatch orders. You need to provide timely and accurate updates on the status of their orders, respond to their queries, and resolve any issues that may arise.
Inventory management: You should be able to monitor inventory levels and ensure that the dispatch orders are executed based on first-in-first-out (FIFO) principles. This involves managing the stock levels, ensuring adequate stock availability, and minimizing the risk of stockouts.
Team management: If you are managing a team of dispatch staff, you will be responsible for supervising their work, ensuring that they adhere to standard operating procedures, and providing them with training and guidance as needed.
Safety and compliance: As a dispatch executive, you need to ensure that all dispatches are carried out safely and in compliance with relevant laws and regulations. You should have a thorough understanding of safety guidelines and best practices for dispatch operations.
