Maintain a balanced inventory, consistent with the requirements of the service department, commercial & wholesale accounts.
Establish pricing parameters in each customer category that generates sufficient gross profit to produce a satisfactory profit while maintaining customer loyalty.
Establish individual parts inventory levels and balances them for maximum turnover.
Monitor and adjust inventory to minimize obsolescence.
Ensure that all returned or warranty parts are properly tagged so that the dealership recovers full credit from the OEM.
Ensure Mechanics/technicians are adequately supplied with all parts and materials as needed.
Oversee Purchasing of supplies & materials for Service Department.
Analyse sales, expenses, and inventory monthly to maintain profit goals.
Administer a new aggressive wholesale & retail parts program to generate profit.
Ensure that the same high quality level of service provided to outside customers is also provided to internal dealership customers.
Work closely with the Workshop Managers to ensure a timely turnaround of parts needed for internal jobs.
Provide Technical assistance to employees and customers.
Coordinate a prompt, efficient, and timely flow of paperwork.
Ensure that all dealership purchases are properly accounted for before payment is made.
Understand and keep abreast of, and comply with state, and local regulations that may affect Spare parts sales.
Accepts other responsibilities as requested by the Works Manager or Dealer Principal
Seek out new parts business.
Handle customer complaints immediately and according to the Company’s guidelines, forwards all concerns to the Reporting Manager.
Manage the entire gamut of spare parts operations from inventory control, pricing policy (in coordination with the management), and warehouse & personnel management .
Maximize profit through the effective operation of the Spare parts department.
Provide excellent customer service support
Ensure smooth logistics and minimize order to delivery lead time
Prepare accurate forecasts to ensure maximum availability of stock.
Create market awareness of Genuine spare parts and brand building.
Conduct spare parts campaigns.
Train and follow up on the development of spare parts team
Source competitive replacement spare parts
Enter spare parts orders on ordering systems
Conform to policy on the special ordering of parts.
Process all delivery documentation on arrival.
Notify manufacturers of any delivery discrepancies and seek speedy resolution.
Book any suspect or rejected stock into quarantine locations.
Communicating status of orders to Customer Care Department.
Chasing suppliers for part queries, prices and delivery dates.
Manage the stock levels of parts.
Manage and reduce the number of parts outstanding
Seek out new vendors, suppliers and manufactures and negotiate terms and pricing for greater profitability.
Appropriate management of returned spare parts.
Responsibility for perpetual inventory.
Identification of alternative sources of supply where necessary.
Provide information to those with spare parts queries.
Ensure that resources are available to meet demand for spares dispatch.
Improvement of the systems and processes within parts department.
Working with relevant teams on specific projects as identified.
Support team members and provide temporary cover as required..
