Where you sit in
You will be part of the diverse and cross-disciplinary VP-ship that brings together Catalyst, Analytical, Rock and Fluids as well as site management teams of STCA and STCB (PTX/A) to deliver technology in a more efficient and effective manner. The incumbent will administratively report to GM Novel Materials R&D but will provide administrative support to all the groups of technical and managerial staff in PTX/A that is based in Shell Technology Centre Bangalore (STCB). This will include the GM Analytical Technology and GM STCB Site Manager, in addition to GM Novel Materials R&D. All 3 groups will be key customers.
What is the role?
The role comprises provision of various administrative support to a group of technical and managerial staff in PTX/A in line with P&T business support list of services. This may include 1st line support to SERP Time writing and Concur/Expenses; usage and administration of departmental credit cards for defined low value/low risk procurement; staff on boarding/ off boarding; creation and updating organograms; support for MOR rounds/ OR job postings; expense claim processing for complex trips and managerial staff; booking complex trips + visas; management of on- and off site workshops/conferences, meetings, events including researching venues & negotiating with third parties; supporting site based common events like Safety day, Innovation day and various LOD audits and Shell Internal audits; coaching technical staff with administrative tasks which do not fall under the ASU list of services. This will include use of the available self-help tools (e.g. book-it, HR Online); document management : preparing business documents using Shell templates in SST2000, format Technical Report & providing Quality Check, distributing technical reports, filing activities, download/upload files in Livelink, maintain Shared Folders; provide support in managing departmental SharePoint sites and compliance with Records Management policies; office Administration: provide general admin support where applicable, i.e. complex/large scanning, printing, reproduction, binding, typing, faxing. Liaise with Shell Real Estate on stationery, office machines, pigeonholes, cabinets & trolleys; support and maintain technical and administrative Workorders in IQN.
Incumbent will be part of a small physical team and wider virtual team of admin staff delivering a range of administrative/ hybrid activities.

Ability to deal with multiple competing priorities and tasks
Ability to be proactive and identify areas for enhanced support and business improvement
Basic Bachelors degree with min. 3-6 years of relevant work experience in a similar role
Proficient with standard office software; including Excel, Word, PowerPoint, Outlook
Solid experience with the various tools/ systems (e.g. book-it, SERP time writing, SAP TMS/ expenses, Live-Link, TRIM)
Genuine interest to develop intimacy and knowledge about the specific location and/or business units.
Apply and encourage best practices globally across P&T and provide suggestions for optimising to get things done more efficiently
Take personal accountability to ensure timely delivery of commitments
