Full Job DescriptionJob SummaryWe are looking for Female Executive Assistant to our Managing Director. She will provide full administrative and secretarial support at a senior level to the Director to ensure the smooth management of her day-to-day affairs, and most effective use of her time. Handle sensitive and complex issues in a professional and objective manner. Take initiative as appropriate especially in the Director’s absence.Duties and ResponsibilitiesØ Manage Director’s electronic diary, assessing the priority of appointments and reallocation as necessary.Ø Manage Director’s travel arrangements (including visas/accommodation).Ø Process Director’s correspondence ensuring that incoming correspondence is dealt with by the Director/or on behalf of the Director, or other staff as appropriate.Ø Maintain Director’s office systems, including data management and filling.Ø Maintain records of the Director’s contacts.Ø Screen calls, inquiries, and requests, and deal with them when appropriate.Ø Assist Director in researching and following up with the action on matters which fall within the Director’s responsibility- chasing a response, triggering follow-up action.Ø Produce documents, briefing papers, reports, and presentations for the Director.Ø Organise meetings and ensure that Director is well prepared for those meetings, preparing agendas, pre-meeting briefings, and meeting papers.Ø Assist /support Director, Development Manager & Communications Manager in arranging funding partners and other events.Ø Meet and Greet visitors at all levels of seniority.Ø Supervise all Trust incoming/outgoing mail.Ø Any other duties as may reasonably be required by the Director.Required Skills and QualificationsØ Educated to Master level or equivalent.Ø Experienced Personal Assistant at Senior Management level.Ø Experienced in Electronic Diary Management.Ø Smart and Pleasing Personality person.Ø Exceptional interpersonal and communication skills, to enable professional interaction with a wide range of contacts, both internal and external to the University.Ø Ability to organize and plan own work.Ø Excellent attention to detail, with the ability to maintain a high level of accuracy.Ø A flexible, pro-active approach to work including the ability to prioritize and re-prioritize.Ø Ability to work on own initiative.Ø Ability to deal with sensitive information with discretion and maintain confidentiality.Excellent IT Skills, including working knowledge of presentation software packages, preferably Microsoft Office Word, Excel, and PowerPoint.Freshers can also applyJob Types: Full-time, Walk-InSalary: ₹20,000.00 – ₹30,000.00 per monthSchedule:Morning shiftAbility to commute/relocate:Chandigarh, Chandigarh: Reliably commute or planning to relocate before starting work (Preferred)Experience:total work: 1 year (Preferred)Work Remotely:NoSpeak with the employer+91 9115400109
