Full Job DescriptionThe position will have a background in IT Purchasing plus headship and analytic ability. The senior specialist will guide a team of seven handling IT purchasing, contract, billing and license management activities, work flexible hours and give direction to ensure that service level targets are met consistently.
Requirements
Minimum of 6 years of experience, of which 3+ years should be in Information Technology, plus 3 years in a procurement, purchasing or asset management position.
Strong organizational skills with an attention to detail.
Ability to concurrently navigate multiple systems and tool sets.
High degree of initiative and ability to work effectively in teams or singly.
Excellent people skill, written and oral communication skills with an ability to deal effectively with all levels of the organization.
Ability to negotiate and win with suppliers.
Key Duties
IT Purchasing
Guide and directs purchasing of goods and services related to the IT industry (Examples: hardware, software, network, cloud, bandwidth, MPLS, IT Security, website domains, VoIP).
Creates and reviews Purchase Orders and verifies accuracy and compliance with financial standards.
Manages the recording and maintenance of contract and license information in appropriate tools.
Performs special assignments, projects and other duties as appropriate.
Establishes good working relationships with internal business partners and outside vendors.
Experience of global purchasing or procurement would be an advantage.
Customer Assistance
Provides timely assistance in the fulfillment of IT purchase requests; provides technology assistance to employees so that they can make the right conclusion about pricing, product options and delivery when purchasing technology goods and services.
Processes purchase orders and information requests within service levels using documented procedures.
Escalates all business-critical issues and non-standard equipment requests to the business managers and IT Asset Management in a timely manner.
Verifies that Service Level Agreements (SLAs) are being met and adjusts work schedules to accommodate requests. Provides metrics to demonstrate compliance with service targets.
Verifies that the IT Purchasing desk is well staffed always, notifying the Manager when coverage requirement will not be met.
Ensures work assignments are being completed on schedule.
Manages team schedule.
Headship
Provides technology and purchasing advice to other purchasing specialists so that they can make the necessary tactical and strategic conclusion when purchasing technology items.
Utilizes documentation, vendor resources and service management tools to ensure purchase orders are accurate prior to submission.
Monitors activities and request volumes daily; resolves purchasing issues with team members, employees and vendors; and escalates issues and outages to staff and IT Asset Management
Generates, reviews and provides reports about IT purchasing.
Tracks and identifies procedure-related issues, identifies areas for improvement, holds meetings, reviews procedures, and implements enhancements to procedures.
Participates in training asset specialists. Demonstrates an awareness of personal strengths and areas for improvement and acts independently to improve and increase skills and knowledge.
Provides back-up coverage for other asset specialists when needed, including answering calls, reviewing tickets, resolving issues and responding to e-mails.
Manages customer expectations by providing status updates and regular communications.
Regularly monitors the group e-mail box and ensures effective responses to customer inquiries
Acts as mentor and assists in resolving escalated issues.
Key Performance Indicators
Meet service level targets for purchasing and delivery of goods and services.
Successive improvement in delivering efficiency to the purchasing process; and
Efficient communication of service activities to IT staff and business users
Candidate Specification
Formal Education & Certification
Undergraduate degree
Technical certification preferred, but not required
Formal or informal training in an ITSM tool and a PO system preferred but not required. ServiceNow experience a clear advantage.
