The following shall be the duties / responsibilities entrusted to you and the same shall be carried out by you to the best of your abilities:
(a) Maintaining the reception area and attending to guests and Clients at the reception area.
(b) Reply of telephone messages and emails.
(c) Maintaining Attendance Register, Leave Register and managing leave records in software.
(d) Maintaining personnel files and employees records.
(e) Maintaining Inward and Outward correspondence of the Head Office
/ site etc. as well as maintaining records in office in co-ordination with the various departments of skills available on site and office.
(f) Assisting in the Planning and preparation of meetings and conferences.
(g) Managing Online ticketing, Hotel Bookings and other related work concerned with the travel and stay of the officials of the organization and other secretarial work.
(h) Conduct a random stock count of stationery, toners and/or other printing materials for the office use on a monthly basis.
(i) Co-coordinating with the Advertisement agencies for putting up advertisements and maintaining the records of the advertisements put up by the Organisation.
(j) Fixing and follow-ups of meetings.
(k) Providing secretarial support in other general administration.
(l) To plan recruitment of new staff with the management and make necessary arrangements for recruitment of new staff.
(m) To prepare and issue appointment letters to newly recruited staff, after taking approval of the management, and once approved documents verification of the selected candidate.
(n) To issue confirmation letters, termination letters, to accept resignation letters, to complete the process of taking over/Handing over and shall be responsible to all related issues.
(o) To accomplish staff results by communicating job expectations; planning, monitoring, and appraising job results; coaching, counseling, and disciplining employees; initiating, coordinating, and enforcing systems, policies, and procedures and also to address Employees’ grievances.
(p) To prepare a Training Plan and provide training for employees in terms of the said Plan and ensuring awareness of customer requirements throughout the organization through meetings, displays and training for developing personal growth opportunities and also maintaining a safe and secure work environment;
(q) To ensure all the statutory compliances relating to employees is complete.
(r) To Plan, organize and administer the activities of the office, or any division of the Company as required by the management, efficiently.
(s) To Establish and maintain an organizational climate that encourages the development, retention, and a high level of morale among personnel.
(t) Keeping the Management informed of activities of the unit, particularly of major or unusual developments and providing information and reports to the Management as and when required.
(u) Promoting an integrated effort in the administration by co-operating with other staff members and coordinating her activities with theirs when such action is indicated.
(v) Recommending the budget for her department, office, or division and, within limitations established by the management, to administer her budget and also to achieve financial objectives by anticipating requirements; submitting information for budget preparation; scheduling expenditures; monitoring costs; analyzing variances.
(w) To Liaison with customers, suppliers, certification bodies, government agencies.
(x) To provides supplies by identifying needs for reception, switchboard, mailroom, and kitchen; establishing policies, procedures, and work schedules.
(y) To provides communication systems by identifying needs; evaluating options; maintaining equipment; approving invoices.
(z) To purchase stationary material required for office including for printing by obtaining office requirements; negotiating price, quality, and delivery; approving quotations and placing orders after taking approval of the management.
