Hi Looking for CCA to Coordinators for a reputed school in South Kolkata.The Job Description is as follows:This role is responsible for physical education of students during school hours as well as overseeing sports and other co- curricular activities pursued by students including events and competitions within and outside the school, co-curricular and cultural specialised coaching and club activities, educational trips and excursions, promoting the house system and organising skill development workshops for the students.. This role is also responsible for social service and student welfare including planning and execution of a structured social service programme of the School. Another important aspect of the role is communicating student achievements and highlights of the social service programme with the media· Partners Management in taking strategic decisions pertaining to Co-Curricular Activities, Games and Sports to be pursued by students within the school, Competitions and events to be organised within the school and participated outside the school, Social Service Programme to be pursued by the Schoolo Recommends newer potential activities, programmes to the Managemento Structures comprehensive programmes for all the above verticalso Recommends assessment criteria in all the domains in consultation with the faculty· Designs and communicates policies, procedures with respect to Co-Curricular Activities, Games and Sports pursued at the School:o Develops and maintains an CCA Handbook containing details about all the Extra-Curricular Activities, Games and Sports being conducted at the school and rules for participation.o Communicates the same to Coaches, Games and Sports Teachers, Co-Curricular Teachers, Club Incharges, students and Event/ Competition Incharges from time to time.· Oversees Physical Education and Sports for students of the entire school:o Ensures Physical Education as during school hours per School Curriculum through Games/ Sports Teacherso Monitors class activities and participation· Oversees Co-curricular and Cultural Club Activities of students of the entire schoolo Maintains a schedule and calendar of all extracurricular activitieso Monitors club memberships, meetings and activities.o Monitors participation in Co-Curricular Activities and analyses effectiveness of offering each activity.o Monitors Specialised Coaching for Sports or other Co-Curricular activities beyond school hours through Coaches and in-house sports/games teachers.o Keeps track of students attending coaching for sports and co-curricular activities outside school premises for representing the School in external competitions and events.o Interfaces regularly with students and parents to ensure that students are able to pursue their passions, receive appropriate coaching and are able to showcase their talent in internal and external forums.o Works closely with management, staff, faculty, parents and students to plan, help organise, promote, evaluate and supervise Extra-Curricular and Sports programmeas, events, and activities including inter-school fests and competitions, MUN, Special Assemblies etc.o Promotes the House Systems by encouraging students and respective teachers-in-Charge to maximise participation in intra-hose and inter-house extra-curricular and sports events and competitions.o Promotes student participation in all external and internal Events and Competitions through the deputed Event or Competition In – charges and also encourages individual achievement outside the Schoolo Collates and publishes statistics of participation and achievement at individual and team levels as well as feedback from participants, including events and competitions attended by individual students outside the School and shares the same periodically with the management, faculty and the entire student bodyo Mentors students who achieve success or demonstrate special talent in any co-curricular activity, encourages them to excel and ensures their achievements are recognised in appropriate forums including the School Assembly, media etc.o Collaborators with Special Educators and Psychology Counsellors to ensure students with special needs demonstrating interest in co-curricular activities, receive special encouragement for their overall development· Oversees Tie-ups with other Organisation and corporate houses for sponsorships of events· Arranges Educational Trips and Excursions for students towards broadening their learning horizons:o Researches information with respect to a destination and tentative budgetso Engages with Management, Teachers, Students and Parents to plan and execute the tripo Makes all arrangements for travel, transfers and stay keeping in mind safety and well-being of the students and teachers-in chargeo Monitors the expeditions and trips in progress and keeps the parents and management informed· Organises skill development workshops for the studentso Benchmarks with social and industry trends to identify skills that students need to imbibeo Identifies trainers and participants in consultation with relevant teachers and the HR departmento Organises Skill Development Workshops for students and monitors participation and effectiveness· Ensures fiscal accountability in area of jurisdictiono Prepares monthly, quarterly, half yearly and annual activity plan and corresponding budget with respect to manpower, capital expenditure and revenue expenditure and obtains due approvals.o Orders necessary supplies and equipment in accordance with standard operating processes and approved budgets.o Tracks and optimises inventory of CCA equipmento Monitors spends vis a vis allocated budget allocated for these activities, both in totality and also on an activity to activity basis.o Maintains appropriate records related to activity expenses and revenues.o Ensures payment of bills to vendors, service providers, contractual trainers, specialists and coaches as well as financial reporting in accordance with the Managements requirements and Board policies and regulations.o Updates the management and the board on a periodic basis with respect to costs, expenses and receipts for all activities.· Oversees Social Service and Student Welfare for the entire schoolo Plans and executes a Structured Social Service Program including community service and charity programs from Grade 3 to Grade 12, making it a continuous and whole school affair.o Engages with students and parents to maximise student participation· Ensures well-being, safety and security the participating students and the beneficiaries of the programme· Collaborates with the other administrative heads to ensure that on-ground arrangements are done on time for all events, service providers are paid on time and sufficient resources are available at the right time and place· Manages the team of Coaches, In-house sports/games teachers, Co-curricular Teachers in collaboration with the HR Department:o Partners the talent acquisition process by taking interviews and demonstrations of teachers and coacheso Ensures renewal of contracts within timelineso Communicates policies, values and standard operating procedures of the Schoolo Arranges individual objective setting and performance appraisal feedback sessions.o Ensures training and skill upgradationo Tracks attendance and punctualityo Monitors discipline and diligence and takes appropriate actiono Ensures recognition and rewards for exemplary achievement· Presents periodic MIS to the Management and the Board through reports and presentations:o Maintains and analyses attendance register of instructors and students.o Maintains database of student achievements in extracurricular activities and competitions.o Tracks achievement vis a vis plan and budgets and effectiveness of activities undertakeno Researches historical data and benchmarks of equivalent institutionso Prepares draft reports and presentationso Sends communication about all co-curricular activity schedules and event calendar to the Principals and Section Heads to ensure participation and keep them informed of achievementsHighlights achievements of the students in Co-Curricular Activities and Sports as well as highlights of community service by students to enhance the brand image of the schoolo Convenes Special Assembly to highlight achievements and recognise Achievers in national and International eventso Engages with the broader community and media, with due approvalso Places advertisements for internal eventso Gives inputs for updation of the website· Sends out group emails to parents and students with due approval from the CEO with intimation to the Principals· Furnishes relevant details to the Student Officer for updating the individual student file for future reference· Answers all queries of internal and external auditors· Keeps self, updated of latest trends, norms and best practices and implements continuous improvement.· Performs all such duties which are required for this role as per the changing requirements of the business and strategic objectives of the Organisation.Education: Graduate with reasonably good gradesExperience: 10 years of relevant experienceDomain Knowledge: · Strong interpersonal and communication skillsComputer Proficiency: § Proficiency in designing and implementing mass communication through electronic media, designing and delivering presentations working with large databasesExperience in organising, and implementation of co- curricular activities and eventsExperience in in handling public relations and media engagements will be an added
