The Finance & Payroll Executive works closely with Asia functional heads of Finance and HR to ensure smooth delivery of Finance and HR Operations support to Asia.
Essential Job Duties:
Finance & Accounting Administration
Process the organization’s accounts receivables and/or payables in a timely manner
Coordinate customer billing and collections activities
Handle vendor inquiries and negotiate with past-due accounts
Ensure timely payments of vendor invoices and expense claims reimbursements and maintains accurate records and control reports.
Ensure proper recordkeeping of purchases for use in audits and oversees audit requests relating to purchasing and payables.
Maintain files and accounting documentation and generate reports as required.
Payroll Management
Work closely with relevant payroll providers, EOR partners, Global Payroll Manager and HR Manager, Asia to administer the payroll for all countries in Asia, ensuring compliance with statutory requirements. This includes statutory fund submissions, tax clearances, commissions and bonus payments, as well as periodic salary revisions.
Serve as the Custodian of Records; ensuring accurate record keeping in HRMS as well as personnel files (electronic or hard copy if required by law).
Source and administer HR Systems (e.g. e-leave) as appropriate, providing technical support where required and ensuring that relevant systems are updated for statutory requirements.
Provide HR Metrics, periodic reports, such as required by regulatory bodies and organization charts as needed.
HR Administration
Manage and administer staff confirmation, transfer, promotion, re-designation, re-employment, contract renewal, as well as any administration for joiners and leavers.
Assist in periodic salary and benefits survey and provide external benchmark data as required.
Assist with sales incentive administration
Support the annual pay review and performance management processes in collaboration with HR Manager, Asia
Administer benefits for employees in Asia. This includes flexible benefits administration and ensuring vendors are kept updated on employee data changes (e.g. joiners, leavers, change of salary).
Ensure employee handbooks or other form of communication are kept up-to-date and compliant with statutory requirements.
Support Employee Engagement and Employee Communication initiatives such as townhalls and regional or country meetings.
Select and manage appropriate vendors for services such as EOR, benefits, insurance, recruitment, etc.
Recruitment and Onboarding Facilitation
Manage recruitment process from interview through to offer stage, in partnership with hiring managers and HR Manager, Asia. This includes sourcing and screening candidates, arranging for interviews, and supporting recruitment initiatives to ensure the hiring of qualified candidates.
Coordinate background checks, employment references, salary verification and offers of selected candidates.
Initiate, facilitate and oversee effective onboarding process, working with local line managers from pre-boarding, to implementing on-boarding plans, facilitating induction programmes and on-going support to ensure high engagement levels.

Qualifications:
Degree in Human Resource, Business Administration or equivalent is preferred
Minimum 3 years’ experience in Human Resource functional areas of HR operations, payroll and benefits management. Account Payable experience will be an added advantage.
Familiarity with India manpower and tax-related laws and regulations. Working knowledge of other countries’ employment laws will be a definite advantage.
Ability to maintain confidentiality with highly sensitive data
High degree of initiative, independent and innovative individual with strong appreciation of processes and good numerical and analytical skills
A team player who is customer focused, has a sense of urgency, meticulous and with strong organization skills, ability to multi-task and collaborate across all levels and teams
Able to work immediately or within a short notice period will be a great advantage
