This role will provide you the opportunity to lead key activities to progress your career. These responsibilities include some of the following.
Work closely with HR partners, GCC India PSLT in building and delivering the actions that help to enhance the end to employee experience for the PS team.
You will front-end employee engagement in the team and work closely with PS Lead and PSLT in the agenda. This will include amplifying the GCC engagement actions within team as well as creating specific interventions ranging from celebrations, team building, lets talk, celebrating festivals and life events.
Work with HR partners and help finetune the plans for delivery of CSR and Employee Health & Wellbeing Activity agenda for GCC PS team
Work closely with the Lead PS and PSLT on agenda of team employee communication, on areas like important messages on Global changes, HR Policies, Leadership Communications, etc
Drive Induction plan for new joiners in GCC People Services and HR Roles. Be the buddy and help them get acclimatized to GSK.
Provide administrative support to the GCC PS Lead and select PSLT members, by using exceptional business knowledge, stakeholder management, administrative abilities and personal judgement to execute primary responsibilities. This will include managing administration of Purchase Order, Vendor Management and Budget Management for the team. Keep necessary controls and checks to ensure the GSK processes are followed.
Arrange domestic and international travel, produce detailed itineraries and trip files and prepares expense reports for GCC PS Lead and agreed PSLT members and deal with travel enquiries for People services visitors to the site
Diary management: arranging a variety of appointments and meetings for GCC PS Lead and select PSLT members, ensuring the team have the time to complete projects whilst dealing with changing / conflicting priorities and maintaining routine meetings and day-to -day contact with team members and stakeholders.
Track and report the vacation / time off for the GCC PS leadership team and key team leaders
Administer various meetings, e.g. PS departmental meetings, PS townhalls, VTCs, conference calls: Arranging dates, control ling/ arranging agenda items, distributing minutes and any other supporting administrative actions
Review, prioritize and inform the managers of incoming urgent correspondence or communications requiring action or resolution in manager’s absence
Filing: Maintaining a filing system for a range of documents both hard copy and electronic. Aligning files to records retention policy. Maintaining and updating departmental shared area and electronic databases as required.
Order / maintain supplies for the team. Keeps track of monthly Procurement Card for bill processing & managees expenses reports for the team.
Provide project management, governance & execution support to the office of Lead People Services in leading the key projects across team on employee engagement, talent retention, employee experience and building culture
Provide admin support for India HR Board, HR RMCB and other key meetings
Act with confidentiality and integrity.

Experience of working closely with senior leaders (CXO / Directors) in leading projects, governance, providing EA/PA support etc and are passionate to take on role that brings on larger team engagement agenda.
Strong organisational and administration skills with a continuous improvement mindset
Have worked in matrix designed organisations and have good understanding of the challenges of managing in a complex matrix internally and supporting external meeting and delivery management as required
Have alteast 5 years of relevant work experience where you have interacted and led admin/project delivery/EA support with cross functional, diverse local and global team.
Demonstrated interpersonal skills; the ability to effectively communicate effectively, influence and work well with others in a culturally diverse matrixed organization.
Excellent communication skills (both written and spoken English language skill) and are able to draft messages that are engaging, clear and simple.
Mastery in broad range of computer skills – MS office – word, excel, ppt etc and o365 collaboration tools & demonstrated ability to learn new software
Adept at prioritization and have experienced in juggling multiple priorities
Maintains a high degree of attention to detail and accuracy
Able to handle confidential and sensitive information appropriately
Demonstrated ability and willingness to develop new skills as required
Working knowledge and experience in managing process in Workday, Service Now, managing Concur travel expense management etc is added advantage
You must be graduate and preferably have further post graduation degree/diploma in areas of management
Self-starter capable of working independently with a proven track record of using initiative and following through
