On-boarding new employees – Ensure new employees are on-boarded into Freshworks as per the scheduled date, coordinate with stakeholders to ensure they go through the sessions and complete the formalities as per the policies and framework. Make the whole process smooth and comfortable for new employees to experience ” moments of WOW.”
Pre-Onboarding: Initiate pre-onboarding communication with candidates to provide details of joining formalities, keep assessing the current process to enhance the operation and experience. Bring in new ideas and approach to make the interaction highly positive and smooth onboarding experience for new employees.
New Employee data management: Have close interaction with the TA team to ensure the candidate details are accurate, check and control the inflow of information at the source level, provide feedback to the respective team and ensure employee data is accurate.
Coordinate with middle and senior management level: for facilitating onboarding sessions. Please provide them with appropriate materials and information to make the onboarding process smooth.
Stakeholder management: Provide timely information about candidates/ employees to other functions like Admin, IT, Finance, HR for new employees access and enrolment to tools and applications.
Post Onboarding follows up: Ensure new employees are comfortable with the post onboarding, assimilation with the organization and their respective teams. Assess satisfaction through surveys and come up with actions to address the requests.
Employment letters and documents: Generate and send employment letters to new employees with varied clauses as applicable and ensure the signed copies of the employment letters are stored in the Document Management System.
Employee record management- maintain employee-related records in the system as required by the organisation/ local laws and compliance. Check for accuracy and update the records regularly.
HR Helpdesk: Thorough knowledge of HR policies and processes, respond and address employee requests within SLA through Freshworks’ channel of a ticketing system.
MIS/ reports/ dashboard: Provide regular reports/information required by HR regarding employee HC, feedback reports onboarding, and drive actions to closure.
Audits: Provide support during internal and external audits
Special Projects: Provide ad-hoc support and services as needed
Bachelor’s degree required, with 5+ years of experience in HR & Admin Operations covering entire employee life cycle process – recruitment, on-boarding, Payroll process, Time off, leave administration, employee engagement, training, exit and retiral process in companies with 5000+ employees. Specialization in Employee onboarding management.
Systems: Fluency with MS-Word, MS-PPT, MS-Excel, or similar tools in Google docs. Experience in HRMS systems handling various modules like Recruitment/ ATS, onboarding and employee database, Advanced level experience in ERP like Workday, PeopleSoft, LMS and time & attendance management tools a strong plus
Process Oriented: Strong understanding of HR processes and best practices. Excellent management and organizational skills. Remote onboarding experience and tech-savvy.
People management: Ability to handle complex queries/ escalations amicably, empathetic towards situations, and resolves the issues objectively. Maintain healthy and cordial professional rapport across functions.
Communication: Strong verbal and written communication skills needed to interface and establish rapport with all organisation levels, including executive team members.
A proactive, high energy attitude geared towards achieving continuous improvement.
Flexibility: Ability to operate in a fast-paced, rapidly evolving, and data-driven organization.
