Department Description
Global HR Shared Services function is a central hub of capabilities to provide HR Support Services, Payroll, Background Vetting services & HR Regulatory Operations to staff and HR teams across all business areas of FIL & Eight Roads. The objective of the function is to leverage HR technology infrastructure to deliver efficient HR processes and aim for operational excellence globally. Our team members are based across India, China, UK and Luxembourg to provide these services globally within FIL. The Service Delivery Team sits within the Global HR Shared Services function and works in partnership with all HR teams and business groups to provide assistance in the area of HR administrative services, Payroll & Benefits related activities and HR regulatory compliances. The team is responsible for managing the payroll and administrating the benefits for the organization’s international locations, for designing and implementing various HR administrative practices and procedures, as well as for the maintenance of employee records and delivering services in a consistent and effective way across the organization.
The HR Support team is responsible for the provision of administration support and processing activities relating to an employee’s work lifecycle from hire, retire and post retirement. This team is working in partnership with the other HR stakeholders such as HR Business Partners, Talent Acquisition, Reward, Payroll, Background Vetting, HR Legal and HR Information Systems, as well as all business stakeholders globally.
Purpose of the Role
This role is responsible for the management and delivery of the HR process of the assigned market (UK&I, India and Continental Europe). Ensuring high quality delivery within the agreed SLA’s and turnaround time. This person should be able to work in a highly dynamic, fast paced environment with the focus on transformation while ensuring operation deliveries are met. There is a focus on implementing and maintaining best practices and robust controls for all processing tasks to align with the CPO risk management framework. Data governance and management is key strategic priority for the company, so it is important to appreciate the importance of data owner roles and responsibilities.
Key Responsibilities
Manage, develop and mentor a team of HR specialists. Undertake the full performance management of the team
Motivate and lead the team, creating a common vision for the operations delivery and transformation
Provide line management support to the Team through regular 121 meetings, round table discussions, and appraisals, along with effective coaching and direction,to ensure that process improvements are successfully articulated, agreed, embedded and where appropriate, reviewed.
Provide expert/professional advice, support and guidance to the team in relation to operational processes
Manage the day to day performance and services delivery; monitor performance against agreed SLAs; supports to maximize the benefits of the Workday HCM system; supporting the continuous review of resources to lower transaction cost, reduce cycle times, improve performance and increase responsiveness and service levels
Control of, and participation in daily HR Support processes for Starter/New Hires, Leavers, Changes, Reference Letters & Regulated References, Maternity, Paternity/Parental/SPL, Flexible Working, Reports, Sickness/Absence, etc.
Ensure that transactional employee services routines are managed well and in the most efficient way possible, and introduce regular quality checks on key workflows
Update and implement policies and procedures, as necessitated by organisational needs and ensure ongoing compliance with all regulatory and legislative environments
Liaising with the HR Legal and HR Business Partners regarding policy, procedures etc
Work with the Payroll team to ensure essential and accurate information is provided
Partners with wider HR team to develop and implement policies, procedures, and practices, and share innovative best practices for the company
Providing the appropriate reporting to enable the business stakeholders to make data driven decisions to benefit the business
Contribute to transformation projects, constantly improving delivery services across the HR Shared Services function
Ensuring the data held on Workday (HR System) meets accuracy and quality standards
In conjunction with the other HRSS team leads, develop, implement and review processes to monitor and reduce error rate.
Works with HR support leadership to ensure consistent people focussed processes and practices are embedded within the HRSS team and processes.
Takes accountability of delivery of the HR Shared Services goals
Support with audit requests and subsequent actions
Experience and Qualifications Required
With at least 10+ years of experience, the individual needs to have a strong knowledge of HR domain / operations to be able to create solutions to address our business realities
Team player with a hands-on approach, with the ability to engage and motivate colleagues
Strong interpersonal and communication skills, excellent command of the English language (verbal & written)
Excellent administration and organisation skills, focussed on attention to detail and accuracy
Ability to manage diverse stakeholders and create a strong customer centric culture within an HR Shared Services teams
Manager with good influencing skills and the ability to prioritise business requirements appropriately through a collaborative partnership approach
Experience of building strong collaborative working relationships
Proven experience of leading, managing and motivating a successful team
Ability to manage business demands and to balance team and business needs appropriately, setting clear expectations for both
Experience of performance management, coaching and mentoring team members
Proven experience of advising and supporting stakeholders
Experience of working as part of a project team and support change deliveries
Discreet with the ability to handle confidential and sensitive situations
Knowledge of UK & Ireland or India or CE markets
