Purpose of the job:
To project manage, supervise, andoffer permission seeking support for a work or works, i.e., from submission ofthe request for permission support, through development of permission log,permission seeking, and completion of the process in a timely fashion to ensurepublication schedules are met. To deliver such services to Editorial,Production, Authors and Freelancers according to the agreed Service Levels andspecific needs of a work as agreed withEditorial/Production/Author/Freelancers.
To work effectively in a deadline driven team environment with fellow (senior)permissions copyright coordinators, displaying a positive and constructiveapproach to conflict and problem resolution and Author interactions. Toprofessionally represent Elsevier in all dealings with Editorial, Production,Authors, and Freelancers. To focus on continued improvement in the service thatElsevier provides to these communities.
Key Result Area:
Project andProcess Management; Database:
· Ensurerequests submitted in database include correct information, including level ofservice required and agreed timelines
· EnsurePublishing, Authors, and Freelancers are briefed appropriately upon receipt ofrequest for permissions seeking assistance
· Agreea schedule, check if dates are accurate and updated in the database and keeptrack of timelines during the project
· Manageday to day progress of permissions projects per work or works
· EnsurePublishing, Authors, and Freelancers are regularly updated on projectprogress
· Liaisewith Publishing, Authors, and Freelancers to resolve any queries arising ordirect to appropriate key contact
· Reportany irregularities in the project and process to Line Manager and/or DatabaseManager
· Administration:good housekeeping, both in respect of paperwork and electronic material.
· Ensureall maintain awareness/expertise in most current procedures, processes, andsystem functionality and attend continuous training
· Maintaindepartmental SLAs on speed and quality

· Accuratelyand regularly create, submit and maintain permissions logs, exceptions, copiesof permissions, invoices and other data

· Complexfee negotiation
· Providesuggestions appropriately to Editorial, Production, Authors and freelancers toaid in decision making on permission issues
· Ensureprovisional/estimated costs and final costs are entered into the databasecorrectly
· Monitorprojects so that they are kept within agreed budget. Should any changes orcorrections adversely impact the original estimate, inform the appropriateEditorial, Production, Author, and/or Freelancer so that effective remedialaction may be taken with the minimum delay.
· Authorizeand process invoices
· Abilityto perform legal research including searching for information on the internet,databases, etc.
· Understandingglobal procedures on Copyright Law and processes or listed agreed exceptionsfor permissions including HS, S&T, MRW and derivatives
· Knowledgeof legal terminology and principles
· Understandingand summarizing of legal documents, including but not limited to third partycontent licenses
· Draftinglegal documentation including responses, further requests, and amendments tothird party licenses
