Full Job Description
The Executive – HR is to provide administrative support function in the areas of recruitment, learning & development, performance management, employee engagement, on-boarding, exit formalities, etc.
Duties and responsibilities
A. Recruitment & On-boarding
Initiate talent acquisition (recruitment) through job portals, placement consultants, internal referrals, social network sites (LinkedIn, etc.), vendors, etc.
Send letter of offers, rejection letters/mails to unsuccessful candidates, follow-ups on joining date, etc.
Facilitate entire process of on-boarding formalities.
Periodic updating of Job Postings in job portals and keeping track of responses received.
Update ‘Manpower Tracker’ daily and keep the reporting manager updated on recruitments.
Understand the ‘compensation & benefits’ structure for various levels of positions.
Maintain confidentiality of all offers made to candidates.
B. Induction
Conduct Induction Training to new employees through personal interaction, net meeting, etc.
C. F&F Settlements/Exit Formalities
Initiate documentation of F&F settlement and complete the entire process in the decided time-frame.
Facilitate Exit Interview process for the senior before the final settlement is made to employee separated from the Company.
Coordinate with payroll, other stake-holders (department heads), for completion of document of F&F settlement and settle the dues, if payable, or, collect the dues from employee, if recoverable.
Coordinate with the employee separated from the company in matters related to settlement and complete the necessary paper work at the time of settlement of dues/collection of dues, etc.
D. Employee Engagement
Facilitate employees’ get together, town-hall meetings, picnics, events, etc.
Front-end employee complaints, grievances, etc. and report to management for problem resolution.
Provide feedback on employee matters to enable establish cordial work environment.
E. Learning & Development
Facilitate orientation program to employees wherever required.
Coordinate with external consultants/internal trainers for training employees. Facilitate ‘employee training program’ and provide periodic update to management.
Maintain ‘Training Calendar’.
F. Performance Management
Facilitate ‘Appraisal System’ by initiating the processes of coordinating with Dept. Heads/Stake-Holders for timely completion.
Facilitate establishing KRA by coordinating with Dept. Heads/Stake-Holders for timely recording of quarterly/yearly data.
Issue confirmation letter, extension letters of probation, increment letter, promotion letter, etc.
G. HR Administration
Maintenance of Attendance, leave record, personal records of employees, etc.
Maintaining database of employee, update, amend, close, etc based on management approval.
Facilitate updating of Policies & Procedures of the Company, Employee Handbook, intimating ‘Younify’ team on changes in policies & procedures, etc.
Maintain a good storage system for easy access, retrieval, safety, etc. Facilitate maintaining of e-documents
H. Statutory Obligations & Compliance
Maintain all records related to HR matters like PF, ESIC, Service Tax, Income Tax, Labour Welfare Fund, Professional Tax, Gratuity, etc.
Facilitate assessment of all statutory matters related to HR.
Coordinate with consultant hired to take care of HR-related statutory matters.
Maintain compliance documents, registers, etc for internal use and sharing with clients who are covered for compliance.
Attend meeting of clients related to compliance matters for problem resolutions
G. Payroll Management
Facilitate maintaining of payroll cycle every month for employees, contractual employees, etc.
Maintain payroll records and keep them updated for changes, increments, revisions, in line with statutory and audit requirements.
Coordinate with F&A for crediting employees’ salaries, contractual employees’ compensation, consultants’ fees, etc based on time-lines decided by the management.
Maintain strict confidentiality of all payroll-related documents
Knowledge , skills and competencies:
Should be well versed with Word, excel, basic HR processes.

Desirable Experience & Skills
1-3 years of experience in handling recruitment in a company of repute, preferably in IT products & services business. Experience in SAP-HR environment will be an advantage.
Desirable Qualification
Graduate in any discipline and preferably with MBA in HR.
