Job Description:
The primary function is to lead warehousing operations, inbound and outbound distribution services for our printed books product and to drive process and productivity improvement in warehouse and distribution operations.
This role requires a thorough understanding of our current business processes and will lead all aspects of implementation, training and adoption of improved warehouse, distribution and inventory management processes.
Essential Duties and Responsibilities:
Inventory & Warehouse Management
Ensures inward products are received and managed according to the company’s standard procedure.
Controls inventory levels by conducting physical counts; reconciling with ERP system
Manage inventory levels and aging to ensure health of the inventory
Implement improvement processes and systems to reduce inventory, minimize costs and maximize working capital.
Put control measures in place to ensure mistakes, inaccuracies and discrepancies are highlighted, addressed and resolved.
Manage escalations with stakeholders due to discrepancies in order service from warehouse team.
Operational Performance
Issue shipping instructions and provide routing information to ensure that delivery times and locations are coordinated.
Track and trace goods while they are en route to their destinations, expediting orders when necessary.
Ensure distribution services are used in most cost-effective manner.
Resolve customer complaints or problems: Respond to customers’ or shippers’ questions and complaints regarding storage and distribution services
Arrange for necessary shipping documentation and contact customs officials to effect release of shipments. Schedule shipment or material transportation.
Coordinate operational activities with external stakeholders.
Negotiate contracts for transportation, distribution, or logistics services. Participate in RFP/RFI exercises as and when required.
Evaluate freight or inventory costs associated with transit times to ensure that costs are appropriate. Analyze financial records or reports to determine state of operations.
Prepare project plans, warehouse operations briefs, process change SOP’s
Performs miscellaneous duties, which are work-related, as assigned.
Vendor Management
Manage the day-to-day supplier relationship with our 3rd party service provider (3PL) and distribution vendors.
Work with Vendors, Fulfillment, Customer Service and Sales on monitoring logistics performance to maximize customer satisfaction.
Regular reporting and close liaison and supervision of warehouse operations team to ensure sales return are prepared as per agreed KPI’s
Supervise and guide the warehouse operations team
Set goals, expectations and measurements for performance to ensure warehouse operation team are meeting business requirements.
Ensure internal and external compliance to processes and outcomes
Ensure 3rd party logistics service provider (3PL) is compliant to local & safety norms and rules
Ensuring SLAs & KPI’s are met and exceeded.
Ensure QA targets and goals are met.
Cost & Budget Control
Prepare and manage departmental budgets.
Achieves financial objectives by preparing an annual budget; scheduling expenditures; analysing variances; initiating corrective actions
Ensure that warehousing and distribution costs are on or under budget.
Check and enforce compliant use of cost-efficient distribution services
Check, approve, and analyse vendor invoices. In conjunction with Finance, reporting of all logistics expenses.
Work with Vendors, Finance, Production and Sales on annual business plans, budgets and RF exercise
Ensuring compliance in warehouse operations and ensuring Revenue Recognition as per the LN policy.
High volumes and business complexities especially in the last week makes this very challenging
Managing professional relationship with Vendors and ensuring performance is per the agreed SLA / KPI’s
Managing between editorial operation and fulfillment team to ensure that all FL & BL reprint title are in warehouse in time for month end closing
Ensure Stock obsolescence is consistently under check and provisions are created / released as per policy
Ensuring monthly cycle count and annual stock count is done as per the MOU and ensuring that year end Annual financial audit is completed smoothly to the satisfaction of the Auditors
The role is primarily responsible for handling the BPS integration and daily operational execution, manage inventory and distribution pan India, which requires very close monitoring and liaising with GOTC, Sales, Finance, BPS, 3P WH’s, external customers, channel partners, internal teams to confirm print specifications, schedules & budget planning. Along with managing regulatory/audit/compliance. In addition, this role is also responsible to ensure the efficiency and reliability of WH operation at both facilities in India, ensure KPI’s are met as per SLA’s on month-on-month basis.
1:Shipping and Manifest:
Manage and operate the computer manifest system to back up the primary manifest operator.
Acquire and maintain skills and knowledge necessary to efficiently process orders through the manifest system, process all paperwork, troubleshoot and resolve issues, and continually review ways to improve the distribution process.
Research and evaluate shipping price quotes and routing information for cost effectiveness and time efficiencies.
Arrange carrier pick up, including small package, LTL, courier and air freight. Use best shipping methods to minimize shipping costs.
Pick and pack orders as needed to ensure timely and accurate customer deliveries.
2:General Warehouse Operations:
Perform general warehouse duties which may include moving, organizing, and restocking inventory and processing returns.
Consistently demonstrate strong competency with Bookmaster software, inventory management systems, and standard warehouse operations.
Assist with inventory cycle counting and reconciliation of cycle count variances. Observe and report inventory issues and trends.
Maintain a neat and orderly work area that is adequately stocked with supplies.
Recommend process improvements to supervisor and assist in implementation of process changes when appropriate.
3. Be instructed in safety and adhere to safety standards as well as good housekeeping policies.
4. Responsible for cleanliness within the work department.
5. Responsible for performing all job requirements in a safe manner and being a pro-active safety role model for co-workers.
6. Responsible for correcting/reporting unsafe equipment, to ensure a safe working environment.
7. Perform other duties as assigned.
Qualifications
Other required Knowledge, Skills and Abilities:
Good analytical and problem-solving skills be able to find errors, research errors, identify the causes of errors and eliminate or recommend system changes to eliminate errors.
Strong communication skills – verbal and written.
Excellent organizational and time management skills and proven leadership skills.
Ability to work with little or no supervision.
Education and Experience:
Graduation required, with additional job-related course work preferred. Three or more years of work experience in a warehouse/distribution setting Computer skills including experience with MS Office and other standard software applications. Bookmaster /Peoplesoft experience preferred. Three or more years of work experience in a warehouse/distribution setting
